Clunky vs efficient. . . which would you rather?

What does onboarding new clients look like for you? Did it look like this (my “system”…..

  1. Potential client contacts me through Contact Form on my website or DM me on social media

  2. I emailed (using Gmail) them a link to my scheduler to book a Discovery Intro Chat

  3. As soon as they booked an appointment I email again to thank them

  4. After our call, I emailed yet another thanks attaching a PDF (in Dropbox) outlining my services

  5. If they decided to become a client I sent another email with my Client Agreement Form attached (uploaded PDF form to Dropbox)

  6. Then off I go to Paypal to create and send an invoice

  7. After receiving payment I send another email to thank them for making a payment (a quick acknowledgement to let them know I received it) and include a link for them to book their first appointments in my scheduler which I them added to my calendar (how many systems is that so far? ...7)

  8. In the beginning I sent my Client Agreement (CA) as an attachment via email and (Shock! Horror!) asked them to copy and paste the "Accept Terms" in the bottom portion of the CA in a reply email as acceptance of said agreement. This is was the way I got clients to sign the Agreement

  9. Then I got wise and started using Hello Sign (system #8).

  10. After I received their signature I needed them to complete the Client Questionnaire which was originally another PDF in Dropbox. But, getting fed up with that, I decided instead to design interactive forms in Adobe InDesign (#9) for both the CA and Questionnaire to make it easier for me to gather the information I needed from my new clients

It's only after all of this that I get to begin helping them...which is all I wanted to do in the first place.

You might now be able to see, when I discovered Dubsado the heavens opened up and the angels began to sing (okay so not like that really) but my business took on a different flavour of ease and efficiency when I started using Dubsado as my CRM. 

From 9 different systems I am now down to 2, Dubsado and Acuity, my scheduler*. EVERYTHING else I do inside Dubsado.

When I say it streamlines your business I am not kidding. One place to go for the majority of the daily tasks I need to work with my clients.

And, unless I need to add a different service offering to my Acuity scheduler or tweak my schedule (e,g. change my availability for certain days) I don't even have to visit it because all appointments are emailed directly to me (I have my scheduler set up to automatically add the appointment to my calendar which then automatically shows up in my synced Dusbado calendar)

Can it really be this easy?

Yes.

How to Free Up More Time

I want to take some time to explain why I created Dubsado For Coaches.

When I discovered Dubsado existed I wanted to know everything about it—how it worked, how easy was it to implement and, more importantly, how it could help me work better.

So I went on a quest.

What I found out early on is that the majority of information about how to use this system is geared toward creatives like photographers and web designers. My search early on turned up practically nothing to help me.  

Within a few weeks of constant searching I knew 2 things:

  1. the Dubsado system is fantastic for coaches and
  2. the information available to help us navigate through it was missing

For the last few months I’ve been using Dubsado in my business, asking questions and learning how it worked best for coaches. And, the more I thought about it, the more I knew I had to teach other coaches how to use it in theirs.

My original thought was to do a mini course to give a short overview but I soon realized that to get the most in depth use out of any training I wanted to provide, I had to go all in.  This is where the idea for an 8 module e-course began to surface.

Now don’t get me wrong. Dubsado* out of the box will work fine. But, what if you didn’t have to worry about going through all the learning curves to begin using this system?

The Client Questionnaire

I remember when I designed my first Pre-Session Questionnaire. In a few hours I had frustrated myself so much I had to walk away from my computer. 

Because I chose Life Coaching as the work I wanted to do I knew I’d have to get much more information from my clients that is ordinarily collected in order to begin working with them. 

My form was long, filled with lots of questions….questions to learn about who my clients are and where they are on their journey of discovery.

Plus, as a Life Coach, I needed to be informed of any mental health conditions that would affect the work we did together. So my questionnaire was extensive because I needed to safeguard my client and myself in business. 

But, what I didn’t like about the intake process I initially set up was that in order to get all this information from my client I had to ask them to print the form out, write in their answers, then scan and email me their completed form.

Every time I sent out a form I cringed because it was not how I wanted to do business. I like order and keeping things simple. This did neither.

In the end, I decided instead to learn how to create an interactive PDF in Adobe InDesign. By the way, I had never used the software before but I learned just enough to make my form and create something that looked more professional.

With this interactive form clients could fill out the form in the actual PDF and hit submit to send to me. This way I’d bypass all that extra work the client had to do.

Yes, I could have gone with Google Drive or one of the myriad of other platforms out there, but it would have been the same thing….another platform or system to integrate into my business.

Then, a few months after switching to an InDesign created form I found Dubsado. This girl was very happy. 

Using this system I could now not only design the Pre-Session Questionnaire on the platform with their drag and drop feature but send it directly to my new client.

Now when a client signs up to work with me all I have to do is send the questionnaire to their portal—their Private Client Portal (more on that in another post) that only the 2 of us have access to. There they fill out the form and hit submit. It. Is. That. Easy.

There had to be a better way!

in order to understand why I wanted to create this course I thought it best to take you back to the beginning...

Who was I before Dubs? 

As a fresh-off-the truck, newly minted Life Coach I hadn’t a clue what I didn't know yet.

I had this pie-in-the-sky type of thinking about what I was about to embark upon—find All the clients, help them where they are, make sh*t loads of money and have a very successful business and live a wonderful fulfilled life. 

Ok so not that pollyanish. Ha!

What I didn’t know, was how hard it world be to get clients, to let my people know I was now available to help them get unstuck.

So I took extra courses on marketing and building up your email list and figuring how to talk about me in business (totally enjoyed this course but dang did it test that me!) 

At the same time knowing that I wanted to be ready for the barrage of clients I’d start getting any day now *she says with a wink, wink*,  I thought I’d prepare myself by getting my new business set up right and ready for my people to show up.

In my previous businesses as a crafter (bookbinder & quit artist) I had a couple of systems in place to help me run these businesses—they were a website, an online shop and an email list. That’s it. I chose Etsy as my shop platform so all I had to do was make my books and journals and upload them to my online shop.

As a Life Coach, however, I found that I really needed more systems in place to make this coaching business work and, after a while realized that I didn’t much like having to go here there and everywhere in order to make my business work the way I wanted it to. Was this you too?

I knew there had to be a better way.

I kept holding out hope that soon I wouldn't have to do the constant running around from system to system doing all manner of tasks to make it seam as if business is running smoothly.

And I found it. There is a system out there that fit my needs and I bet it will help you too.
